How to write a follow-up email after no response
Silence is rarely personal. The person you emailed is probably busy, your message got buried, or they opened it on a train and forgot. A good follow-up assumes the best, restates the ask in one line, and makes replying as easy as possible.
The templates below are ordered by escalation: start with the gentle nudge, and only move down the list if the silence continues. Waiting 3–5 business days between follow-ups is a safe default.

Mistakes that kill follow-up replies
- "Just checking in" with no restated ask — the reader has to dig through the thread to remember what you wanted. Always repeat the request in one line.
- Guilt-tripping ("As per my last email…", "I know you're very busy but…"). It reads as passive-aggressive and makes replying feel like a confrontation.
- Following up too fast. Less than 2 business days looks impatient; 3–5 is the sweet spot for most work contexts.
- Asking an open question ("Any thoughts?"). Give a yes/no question or a default they can simply approve.
- Sending a fourth or fifth chase. After the graceful close, switch channels — a call, a chat message, or their colleague.

How many times can I follow up without being annoying?
Three attempts after the original email is the practical maximum: a gentle nudge, a firmer deadline-driven note, and a graceful close. Beyond that, change the channel rather than sending email number five.
Should I reply in the same thread or start a new email?
Reply in the same thread so the context travels with your nudge. The exception is when the subject line was vague — then a new, sharper subject ("Need your sign-off by Friday — [project]") can outperform the old thread.
